Provides administrative or office support to non-executive employees, departments, or functions.

Performs routine tasks independently. General supervision of non-routine work. Has basic knowledge of Chevron policies and practices

Provide administrative support to the Corporate Compliance attorneys and other law professionals in the Anti-Corruption, International Trade, Due Diligence, and other Compliance departments. This position reports to the Managing Counsel but also provides support for several Supervisors, Team Leads, and other Law Professionals.

The position requires an assistant who is knowledgeable in general administrative duties, who is self-motivated, works independently as well as with teams, and has demonstrated the ability to multi-task and use independent judgment within the scope of their responsibilities. The individual should be able to handle confidential information and establish a positive and professional working relationship with team members, clients, and other staff members discreetly and routinely. This position requires a high level of initiative, accuracy, and attention to detail. This position also requires a positive, can-do attitude, strong interpersonal skills, excellent problem-solving skills, and the ability to multitask and manage a high volume of work.

Responsibilities for this position may include but are not limited to:

  • Use Microsoft Word track-change function and Workshare Professional to edit and revise documents.

  • Coordinate logistics, agendas, and presentation materials for meetings, conferences, and special functions.

  • Coordinate and track international and domestic travel logistics, including details needed for visas, immunizations, photos, passport renewals, detailed itineraries, etc.

  • Track and gather related expenses and compile complicated expense reports in expense reporting system.

  • Work in iManage to upload, review and research documents.

  • Follow through to ensure deadlines are met and proactively follow up with individuals as needed.

  • Relieve leaders of administrative tasks.

  • Assist with other duties and special projects, as assigned by Managing Counsel and other team members as needed.

  • Assist and provide backup coverage to other legal assistants within the Compliance team.

  • Performs other related duties as assigned (departmentā€™s activities, training, communications, provide support to legal counsels, etc.)

Required Qualifications:

  • At least 3 years of administrative experience

Preferred Qualifications:

  • AssociateĀ“s Degree

  • Proficiency in SharePoint and the Microsoft Office suite of tools (i.e., Word, Outlook, Forms, PowerPoint, Teams and Excel) and the ability to quickly learn new tools.

  • Strong organizational skills and attention to detail.

  • Strong word processing and proofreading skills to assure accuracy and coherency.

  • Intermediate computer technical skills.

  • Demonstrated high level of initiative, independence and the ability to anticipate needs and requirements.

  • Demonstrated strong interpersonal skills and the ability to collaborate at all levels.

  • Must possess the ability to maintain the upmost confidentiality and adapt to changing needs and deadlines.

  • Ability to effectively communicate (oral and written) at all levels of the organization.

  • Demonstrated ability to adapt readily to the needs of diverse work groups and remain calm under pressure.

  • Demonstrated ability to prioritize, meet deadlines, multi-task and follow through on commitments.

  • Ability to problem solve and use good judgment in making sound decisions quickly.

  • Ability to give effective feedback (both positive and constructive) and receive feedback (both positive and constructive) and act upon it.

Relocation Options:
